REMEMBER, THIS IS YOUR DATABASE. A VERY COMPLETE AND ROBUST FOUNDATION HAS BEEN PROVIDED. HOWEVER, YOU MIGHT FIND THAT YOU NEED/WANT SOMETHING CHANGED. IN MOST CASES THAT CHANGE CAN BE MADE. THE FOLLOWING INFORMATION COVERS DOCUMENT GENERATION, TASKS, AND FEATURES OF MISCELLANEOUS TABLES THAT ARE NOT OBVIOUS AND SELF-EXPLANATORY. 

DOCUMENT PREPARATION

The information from each table can be used to populate documents. SSA Forms, in SSA Cases table have already been prepared. Please let us know if an SSA form is not there that you need. First you need to generate a document template – click “Setup” then chose correct table from the left side. Under Documents click “Generate document template”. That will give you the codes to use for each field in the table, such as First Name: «First Name».

The templates work only with the table from which they were generated. SSA Cases codes will not work with the Records Request table and vice versa. You use only the information between and including the “«  » “. In this example the code for First Name would be «First Name». The information on the template can be rearranged in the order you find most convenient.

To populate your document you simply copy and paste the code to where you want it. When done save the document. Remember is has to be a Word document. Then click “Create a new document”. Choose the document that you saved. Naming a Category allows you to organize the documents by type, such as New Client Docs, OHO Docs, etc. One that is know exit Setup. Your document should be available at the top. Clicking on the document will download it to your computer as either a Word document or a PDF, depending on the selection you made. Tip: save the template as a new document. Then click to download it to your computer. You can then see which codes have the information you want.

TASKS 

 There are two ways to enter a task. At the bottom of the Client Info screen is a Tasks tab. Clicking “New” will open a new task with the client’s ID number already entered. Once saved the task will appear under the Tasks tab. There is also a blue Tasks button on the Client Info, SSA Cases, Records Request, and Federal tables. Clicking that button opens a new tasks but you have to enter the clients ID number. (Important – the database can be coded so that the Task buttons will auto select the Client ID number, just like the tab does. However, since your database is unique, the code has to be tailored to your database by DDM support. That means DDM would have to be invited to your database in order to make the necessary changes.)  Once saved the task will appear under the Tasks tab. An “overdue” email is sent on the current date if a task status is still Assigned. Reports for Assigned To, Due Date, and Overdue are available. Viewing any task under the Tasks Tab at the bottom of the Client Info screen will open the Tasks table where those reports can be run and viewed.

MISC.

These tables require information to be entered by the user: 

  • Representative
  • Medical Providers 
  • ALJ
  • VE
  • ME 

 The information entered in these tables is used by other tables, reports, and documents. 

 The information in these tables have been taken from databases provided by SSA and the USPS: 

  • District Offices 
  • Hearing Offices 
  • City/State/Zip 

 The information is considered complete and current. However, it is possible to make changes/corrections if needed.
